Q1: What if I want to report hours for myself and for the volunteer group I'm part of?
We had to choose between the form allowing volunteers to report on different types of volunteering (individual or group), different locations or different activities on the same form, and we decided that including different activities would be most helpful. Therefore, when you want to report for yourself and for your group, you will need to fill the form in twice.
Q2: If I have been volunteering in more than one place over the month that I'm reporting on, can I enter them both in the form?
If you have been volunteering in multiple locations or location types, like on private property and in a reserve, or in two different reserves, it is necessary to fill out two separate forms.
Q3: Can I pinpoint more than one location on the map?
Each form can only refer to activities in a single location and you can only drop the pin in one location on the map.
Q4: What if I hold an event like a guided walk? Do I report the hours of all the people who came along?
If you hold an event like a street party or guided walk, the people who come along don’t need to be recorded in this volunteer hours form. However, you can add the number to the notes at the end if you would like it to be recorded somewhere, and you should record the hours of any volunteers who planned, organised and ran the event.
Q5: Can I check who else has reported hours for my group, to avoid double reporting?
Yes, by arrangement with Econet, you can have a higher level access and will be able to see reports by location. Other ways to check this would be by contacting the team at PFK or by talking to the people in your group who you think might have already reported hours.
Q6: How do you define a ‘volunteer group’?
We respect volunteers’ self-determination and self-identification. If several volunteers identify themselves as one volunteer group, the members can report as a group.
If you can't find your group name in the list, please contact volunteers@pfk.org.nz, and we will add your group info.
We highly recommend group members to discuss and coordinate the reporting tasks before reporting to lower the chance of duplication.
Q7: You used to have a question about Health and Safety reporting. Should we include this on the new form?
Please use this form to report an accident, incident or near miss. You can also include a note to indicate that there has been an incident form submitted.
Q8: I am a coordinator of one volunteer group, but I didn't attend the event. How should I report?
In this case, even if you didn't go out with the group on the day, you are still reporting for a volunteer group. You can: 1) include the time you have spent coordinating and group when reporting; 2) put the names and email address of the people attending this event in the notes field.
Q9: Why do I need to report the specific hours for each type of action I choose?
This data will be very useful for illustrating and acknowledging volunteers' contributions in these specific activity areas.
Q10: Will my group coordinator or administrator report the hours I did with the group?
Communicate with your group coordinator or administrator to confirm who will report your hours, and if they will report for you, what information you need to provide for them to do it appropriately.
